▶️ 1. My Staff Overview & Guide

The 'My Staff' section is your central hub for managing all individual user accounts in your system. From here, you can add new team members, edit their profiles, configure their permissions, set their availability, and more.
🚀 2. How to Add a New Staff Member ("Add User")
To add a new user to your account, follow these steps:
- Navigate to Team & Permissions > My Staff.
- Click the "Add User" button, usually located in the top-right corner.
- Fill in the user's details, including First Name, Last Name, and Email.
- Assign them a temporary password or send them a password-creation link.
- Click "Save" to create the account. You can configure more detailed settings after the account is created.
💡 3. Editing User Info
You can edit a user's basic profile information at any time.
- From the My Staff list, find the user you wish to edit and click on their name.
- In the "User Info" or "Profile" tab, you can update their name, profile picture, email address, phone number, and signature.
- Click "Save" to apply the changes.
🛡️ 4. User Roles & Permissions
This section allows you to control what a user can see and do within the system. Instead of setting individual permissions, you assign a pre-defined Role.
- Find the user in the My Staff list and open their profile.
- Navigate to the "Roles & Permissions" tab.
- Select the desired role from the dropdown menu (e.g., "Admin", "User", "Sales Rep").
- The permissions associated with that role will automatically apply to the user. To edit what a role can do, visit the Roles & Permissions section.
📞 5. Call & Voicemail Settings
Configure how calls are handled for this specific user.
- In the user's profile, find the "Call & Voicemail" settings.
- You can assign a direct phone number (if available), set up call forwarding rules, and manage their voicemail greeting.
- This is also where you can set their outbound caller ID.
🗓️ 6. User Availability
Set the user's working hours to control when they can receive calls, appointments, or be assigned to new conversations.
- In the user's profile, go to the "Availability" tab.
- You can set a weekly schedule (e.g., Monday-Friday, 9:00 AM to 5:00 PM).
- Users outside of their available hours can be automatically marked as "Away" or "Offline".
🔔 7. Notification Settings
Control how and when the user receives notifications for new messages, tasks, or system alerts.
- In the user's profile, find "Notification Settings".
- You can enable or disable notifications for different channels, such as email, SMS, or in-app push notifications.
🔑 8. Resetting Team Member Passwords
If a team member is locked out or forgets their password, you can easily send them a reset link.
- Navigate to My Staff and click on the user's name.
- In their profile, look for a "Reset Password" or "Send Password Reset Link" button.
- Clicking this will send an email to the user's registered address with instructions to create a new password.
