Task Management & Assignment

Guide to creating, assigning, managing, and completing tasks for users and team members within Velocity360 to ensure timely follow-up.

🎯 1. Introduction to Task Management

The Task system in Velocity360 ensures no follow-up falls through the cracks. Tasks are reminders tied to specific contacts or general internal activities, helping your sales and support teams stay organized and hit key deadlines.

Core Uses

  • Scheduling manual follow-up calls or emails for leads.
  • Creating internal reminders for project milestones or documentation.
  • Ensuring time-sensitive activities are linked directly to a client's history.

✏️ 2. Creating New Tasks

Tasks can be created either manually for a specific contact or as a general item from your dashboard.

Creation Methods

  • From the Contact Profile: Navigate to the contact, click the Tasks tab, and select + New Task. This automatically links the task to that record.
  • From the Main Dashboard: Use the global + Quick Action menu or the main Tasks menu item to create general, non-contact-specific reminders (e.g., "Prep for weekly sales meeting").

📝 3. Create a Task for a Contact

Follow this interactive guide to quickly create a task specifically linked to a contact record.

👤 4. Assigning and Prioritizing Tasks

Proper assignment and detail entry are crucial for effective delegation and clarity.

Key Task Fields

  1. Title/Description: Be specific (e.g., "Call Jane Doe - Discuss pricing proposal").
  2. Assignee: Select the specific team member responsible for completion.
  3. Due Date & Time: Set a hard deadline. Tasks that are overdue will be flagged on the dashboard.
  4. Type (Optional): Categorize tasks (e.g., Call, Email, Meeting) for easy filtering.
  5. Priority: Mark the task as Low, Medium, or High to help the assignee prioritize their daily workload.

📋 5. Managing and Viewing Tasks

All active tasks are managed from the main Tasks dashboard, providing multiple views and filtering options.

Dashboard Overview

  • My Tasks: Filter the main list by "Assigned to Me" to see your personal follow-up schedule.
  • Filtering: Use built-in filters to sort by Due Date, Assignee, Priority, or Task Type to quickly triage your work.
  • The Widget: Your main Velocity360 dashboard typically features a dedicated task widget showing overdue and upcoming tasks for instant visibility upon login.
  • Team View: Filter by other team members to review their current workload and assist with capacity planning.

✅ 6. Completing and Closing Tasks

Once a task is finished, it must be marked as complete to update the contact's timeline and remove it from the active list.

Closing Procedures

  • Quick Complete: On the main Tasks dashboard or the Contact Profile, click the small checkbox or completion icon next to the task item.
  • Detailed Completion: Open the task record itself to add final notes or comments regarding the outcome of the activity before clicking Mark as Complete.
  • Timeline Record: Completed tasks are permanently logged in the associated contact’s activity timeline, providing a comprehensive history of interactions.

Best Practice: Automation

Utilize campaign automation to automatically create tasks for sales reps (e.g., "Task: Call Lead 3 days after download") rather than relying purely on manual creation. This ensures consistency in your follow-up process.
