Smart Lists are dynamic contact segments that update in real-time as your customers meet the specific criteria you define. Unlike static lists, Smart Lists ensure your campaigns and reports are always based on the most current data, eliminating manual list management.
Smart vs. Static Lists
- Static Lists: Contacts remain on the list until they are manually removed. Great for one-off event invites or historical snapshots.
- Smart Lists: Contacts are automatically added when they meet the filters (e.g., "City = London AND Tag = Lead") and automatically removed when they no longer meet the filters (e.g., if you remove the "Lead" tag). Essential for marketing automation.

Follow these steps to initialize a new dynamic list and start adding your segmentation criteria.
Creation Process
- From your Velocity 360 dashboard, click Contacts in the left sidebar.
- Navigate to the Smart Lists tab.
- Click the + New Smart List button, located in the top-right corner.
- Give your list a clear, descriptive Name (e.g., "Active Users - Last 30 Days").
- Click Save & Add Filters to proceed to the filtering canvas.
The list will initially be empty until you define your criteria in the next step.

This is the core of segmentation. You can filter contacts based on their properties (data) or their behavior (activity).
Defining Criteria
- Click + Add Filter. The filter options are grouped by *Contact Data* (e.g., tags, location, custom fields) and *Contact Activity* (e.g., email opens, page visits, form submissions).
- Select your filter (e.g., 'Tag') and then define the condition ('is equal to' or 'is not equal to').
- Enter the value (e.g., 'Premium Client'). The list preview will update instantly.
- Use AND to narrow your list (must meet *all* criteria). Use OR to broaden your list (must meet *at least one* criterion).
Advanced Tip: Using Filter Groups
To build complex logic (e.g., Contacts who live in (NY OR CA) AND have (opened an email AND submitted a form)), use the Group feature. This lets you nest AND/OR logic effectively.
⬇️ 4. Saving and Exporting Your Segment
Once you are satisfied with your segment count, save the list for ongoing use or export the current list members for external reporting.
Saving & CSV Export
- To finalize your dynamic list, click the Save List button (typically in the top-right). This list will now update continuously in the background.
- To export the current members, navigate back to the main Smart Lists tab. Find your list, click the three-dot menu next to its name, and select Export as CSV.
- The export will capture the contact data as it exists at the moment of the request.

Smart Lists are most powerful when used to automate marketing and sales processes.
Campaign Enrollment Triggers
You can use any saved Smart List as the entry criteria for your Automated Campaigns or Workflows:
- In the Campaign Builder, set the trigger to: "When contact is added to Smart List: [Your List Name]".
- Any time a contact’s activity or data changes and causes them to meet your list's criteria, they will be automatically enrolled in the connected campaign.
- This is the foundation for creating automated drip campaigns for new leads, re-engagement series for inactive customers, or sales alerts for high-value prospects.
