A step-by-step guide to creating, filtering, saving, sharing, and managing Smart Lists.

๐Ÿ” 1. Creating and Filtering a Smart List

Step 1 โ€“ Log into Velocity 360

Ensure you have logged into your Velocity 360 account with the necessary permissions.

Step 2 โ€“ Using the left side panel go into Contacts

Step 3 โ€“ At the top you will open the More filters

Step 4 โ€“ Select your desired filter (e.g., Tag)

The top list contains the most used filters. For this example, we will use Tag. This list is personal to you based on your usage.

Step 5 โ€“ Apply the filter

Use the drop-down to select the tag (or other criteria) youโ€™d like to filter on. You can add more than 1 tag at a time. Once set, select Apply at the bottom right.

Step 6 โ€“ Refine and Save as Smart List

You will get a similar screen below where you have the choice to add other filters, edit, delete, or Save as Smart List.

Highlight: This area allows you to Edit (pencil icon) or Delete (trash can icon) this filter.

+ AND: Use this if you have more stipulations to your filter. This ensures all requirements are met.

+ OR: Use this if you have an option of two or more possibilities (e.g., Tag - Office or Business Name Dunder Mifflin). This ensures you catch all desired clients.

IMPORTANT: Be sure to SAVE at the bottom of the pop-up!

Step 7 โ€“ Name and Save

Once you have selected 'Save as Smart List', you will need to give it a name and save one last time.

Step 8 โ€“ Accessing the New Smart List

Your new Smart List will now appear next to All below your top panel. At this point, you are the only user with access to this Smart List.

โš™๏ธ 2. Updating List Columns

Step 9 โ€“ Adding/Subtracting Columns

Use the Columns dropdown to add or remove key data fields from your list view. In this example, we will be adding the Business Name column.

Step 10 โ€“ Column Change Indicator

Once a column has been added or subtracted, you will see a number appear over the More Filters button, indicating pending unsaved changes.

Step 11 โ€“ Saving Column Changes

Open the More Filters menu again. You will now have the options to Save (to current Smart List), Undo Unsave (revert changes), or Save as New.

๐Ÿ‘ฅ 3. Sharing and Deleting Smart Lists

Step 12 โ€“ Accessing Management

To share or manage lists, use the top panel and select Manage Smart Lists.

Step 13 โ€“ Managing Access

This opens all Smart Lists you have access to. Use the 3 horizontal line icon on the right side to manage access for your team.

Step 14 โ€“ Sharing with Users

A pop-up will appear allowing you to share the list with all users or select individual users. Remember to click SAVE at the bottom.

Note on Sharing:

  • To remove a user, follow the same steps and unselect them.
  • You cannot delete the list until you have removed access to everyone else you shared it with.

Step 15 & 16 โ€“ Deleting and Editing Lists

From the same Manage Smart Lists screen (Step 12), you can perform other actions using the icons next to the list name:

Copy: (Yellow Icon) Use this to duplicate the list.

Edit: (Green Icon) Use this to change the name or description of the list.

Delete: (Orange Icon) NOTE: Delete is ONLY an option if you are NOT sharing this list with any other users.
