๐Ÿงญ 1. Accessing the Import Tool (Steps 1-3)

Step 1 โ€“ Log into Velocity 360

Ensure you have logged into your Velocity 360 account with the necessary permissions to access and manage contacts.

Step 2 โ€“ Open Contacts from the left side panel

Step 3 โ€“ Locate the Import Contacts Icon

On the top panel of the Contacts page, locate and click the **Import Contacts** icon to begin the bulk upload process.

๐Ÿ“ค 2. Uploading the CSV File (Steps 4-5)

Step 4 โ€“ Select the Upload Area

A new window will open. Select the required area for your bulk uploading (e.g., standard contact list) and click the **Next** button on the bottom right.

Step 5 โ€“ Upload Your CSV Document

Ensure your document is in the **CSV format**. Drag and drop your file into the designated area or click to upload it. Using descriptive **HEADERS** (like "First Name", "Last Name", "Company") in your CSV is crucial for successful mapping later.

Job Aid:

If your data is currently in an Excel file, you must first convert it to a CSV format. Search for a guide on "Turning Excel files into CSV files."

โœ… 3. Mapping Fields and Finalizing (Steps 6-10)

Step 6 โ€“ Choose Import Operation

We strongly suggest selecting **Create and update contacts**. This prevents duplicates and ensures that data for any existing contacts in your upload is correctly updated. Click **Next** to proceed to mapping.

Step 7 โ€“ Map the Fields

Map the columns from your CSV (Source Field) to the correct fields in Velocity360. Remember:

  • The highlighted row shows your CSV headers, guiding your mapping decisions.
  • **Green Mapped** indicates a successful, confirmed mapping.
  • Fields can only be used once per contact import.
  • You can select or deselect the option on the far right to skip empty fields.

Step 8 โ€“ Final Review and Consent

Provide a name for this upload for tracking. **MANDATORY:** You must check the box to confirm: **"I confirm all contacts in this import have consented to hear from us."** Click **Next** to proceed.

Step 9 โ€“ Add Tags (Optional but Recommended)

Adding a tag here helps group and organize your clients. You can use an existing tag or easily create a new one to associate with this upload.

Step 10 โ€“ Monitor Import Progress

You can track the status of your import at any time. Use the top panel to open **Bulk Actions**. Here you can see the operation status (e.g., pending, completed, or failed).

Pro Tip:

If your import fails, check your CSV file for inconsistent data types (e.g., text in a number field) or un-mapped mandatory fields before trying again.
