✍️ 1. Setting Up Automated Contract Billing

If you use Velocity360 for digital document signing, you can automatically initiate a subscription plan or recurring invoice upon contract completion.

Automation Step-by-Step

  1. Navigate to Documents in your main dashboard.
  2. Select the contract template you wish to automate.
  3. Go to the Automation & Billing tab.
  4. Set the Trigger: "When Contract is Signed".
  5. Set the Action: "Start Subscription Plan X" or "Create Recurring Invoice Y".
  6. Ensure the client has a valid payment method on file before setting the automation live.

Subscription Management:

If using a subscription plan, make sure the plan and pricing tiers are correctly configured in Payments > Subscriptions before linking to a contract.

For automated billing to work, the client must have a valid payment method stored securely in Velocity360. This can be collected during the contract signing process or separately via a secure payment link.

Collecting Payment Details

  • Integrate a Payment Capture field directly into your contract template (highly recommended).
  • Alternatively, send a secure payment link to the client immediately before or after sending the contract for signing.
  • Without a payment method, the automatic billing action will fail, and you will be notified to follow up manually.

Choose the appropriate billing mechanism based on your service model when setting the automation action:

When to Use Each Type

  • Start Subscription Plan: Best for tiered services, variable usage billing, or products with multiple price points that renew indefinitely.
  • Create Recurring Invoice: Best for fixed-fee retainers, installment payments, or services that require a set end date.

  • Pausing a subscription temporarily halts payments without canceling the client's current period access.
  • Cancellation immediately stops all future automated billing associated with the document.

🌐 5. Creating Public, Shareable Documents

Public documents are templates you can share via a direct URL, allowing anyone to fill out and sign without needing a specific invitation. This is ideal for universal waivers, intake forms, or public-facing agreements.

Publishing Process

  1. Design or select your document template in the Documents section.
  2. Click the Publish tab (or Sharing Settings).
  3. Toggle the option "Make Public and Shareable."
  4. The system generates a unique Public URL.
  5. Copy this URL to embed it on your website, social media, or email campaigns.
