Creating a New Workflow

Step-by-step guide on creating new workflows in Velocity360. Learn how to set triggers, define actions, and publish your first automation.

🚀 1. Getting Started

Workflows allow you to automate communication and administrative tasks. Here is how to begin building one from scratch.

Create a New Workflow

  1. Navigate to the Automation tab in the left-hand sidebar.
  2. Ensure you are in the Workflows sub-menu.
  3. Click the green + Create Workflow button in the top right corner.
  4. Select Start from Scratch to build a custom flow, or choose a pre-made recipe.

⚡ 2. Select a Trigger

Every workflow needs a "Trigger"—the event that starts the automation sequence.

Common Triggers

Click Add New Workflow Trigger at the top of the builder. You can choose from various events, such as:

  • Form Submitted: Runs when a lead fills out a contact form or survey.
  • Appointment Status: Runs when a calendar event is booked or confirmed.
  • Contact Tag: Runs when a specific tag is applied to a contact manually or by another system.

Note: You can add filters to your trigger (e.g., "Form is: General Inquiry") to ensure the workflow only runs for specific scenarios.

🛠️ 3. Add Actions

Actions are the steps the system performs automatically once the trigger fires.

Defining Your Process

Click the (+) icon below your trigger to add an action. Common actions include:

  • Send Email / Send SMS: Automatically communicate with the contact.
  • Wait: Add a delay (e.g., "Wait 2 days") before the next step occurs.
  • Add Opportunity: Automatically add the contact to a specific stage in your sales pipeline.
  • Internal Notification: Send an email or app notification to your team alerting them of the new lead.

✅ 4. Settings & Publish

Finalize your configuration and make your automation live.

Final Steps

  1. Click Settings at the top of the workflow builder to configure options like "Allow Re-entry" (if you want contacts to be able to go through this workflow multiple times).
  2. Give your workflow a descriptive name in the top header.
  3. Toggle the switch from Draft to Publish in the top right corner.
  4. Click Save to apply your changes.

Pro Tip: Always test your workflow with a test contact before running it for live traffic to ensure all emails and delays work as expected.
